Getting started

Moving from Excel to hospital software

Spreadsheets get a clinic far, then start to cost money and trust. Here is a calm, step-by-step way to move across.

Many hospitals begin with Excel for billing and a register for patients. It works until the second doctor joins, bills need correcting, or someone asks how much was collected last month by service. This is a safe way to move.

Signs it is time

  • Two people edit the same file, or you keep copies named “final” and “final 2”
  • Month-end totals do not match the cash in the drawer
  • Finding a patient’s previous visit takes minutes
  • Stock in the pharmacy is counted by hand to know what is left
  • You cannot answer simple questions (revenue by doctor, repeat patients) without a day of work

Step 1: Clean what you have

Before you import anything, fix duplicates, put phone numbers in one format and agree on one spelling for departments and services. An hour of cleaning now avoids months of duplicate patient records.

Step 2: Decide what to bring across

  1. Patients (name, age, sex, phone, address): always import.
  2. Doctors, departments, services and price list: always set up.
  3. Medicine and stock list with batches and expiry: import if the data is reliable.
  4. Old bills and visit history: keep the files for reference; import only if the vendor can do it cleanly.

Step 3: Run a pilot week

Pick one counter, usually OPD registration and billing, and run it on the new system while the old process continues in parallel. Compare the day’s total from both. When they match for a few days, switch that counter over.

Step 4: Train by role, not by feature

The receptionist needs registration, appointments and billing. The pharmacist needs stock and dispensing. The doctor needs the consultation screen. Short role-specific sessions work better than one long demo for everyone.

Step 5: Add one department at a time

After OPD, add pharmacy, lab and then admissions. Each one gives a visible win and gets staff used to the system before the next change.

Step 6: Keep the old files

Keep a read-only copy of the spreadsheets for as long as your accountant and your legal advisor recommend. Do not delete them on go-live day.

What it costs

Ask for the full three-year cost, including set-up, training and extra users. Our plans and prices are published on the pricing page. For other questions to ask any vendor, see the buying checklist.

Start with the free 14-day trial and enter a week of real OPD before you decide. No card is needed.
